Your role is to ensure that the offices you look after are running effectively on a day-to-day basis and be the ‘go-to’ person in the local organisation for various office operations-related questions.
Job Responsibilities and Duties:
- Responsibilities cover our 2 Ukraine office locations in Dnipro and Lviv
- Maintains office services by organizing office operations and procedures
- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement
- Achieves financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions
- Organising meetings
- Booking transport and accommodation
- Organising company events and conferences
- Ordering stationery and IT equipment
- Dealing with correspondence, complaints and queries
- Preparing letters, presentations and reports
- Processing invoices and managing office budgets
- Implementing and maintaining procedures/office administrative systems
- Ensuring that health and safety policies are up to date
- Attending meetings with senior management
- Personal assistant (PA) to head of Ukraine office

Experience:
- 2 years experience in customer-facing work or other office-based roles
- English speaking & writing
